This Privacy Policy explains how Subhive (“Subhive,” “we,” “us,” or “our”) collects, uses, and protects your information when you use our subscription-tracking service at subhive.inand the connected application (together, the “Service”). We’ve written it in plain language because the way we handle your data should be easy to understand.
The short version:we never store the contents or bodies of your emails. We store the account you sign in with, the subscription details you add, and—only if you choose to connect a mailbox—the limited receipt details we extract to suggest subscriptions. We do not sell your data.
Information we collect
Account information
When you create an account, we store your email address, and—if you sign in with Google—your name and profile image as provided by Google. Your email address is used to identify your account, send you secure sign-in links, and deliver the renewal reminders you ask for.
Subscription data you add
We store the subscription information you enter or approve, such as the service name, amount and tax, currency, billing cadence, next renewal date, status, category, and any notes. We also store your preferences, including your display currency and how many days before a renewal you want to be reminded.
Connected mailboxes (optional)
Subhive can optionally scan your inbox to detect subscription receipts so you don’t have to enter everything by hand. This feature is entirely opt-in—it only runs if you explicitly connect a mailbox from your Settings. When you connect Google/Gmail, we request read-only access and store the Google account email and the OAuth access and refresh tokens needed to perform scans on your behalf. You can disconnect a mailbox at any time from Settings, which removes the stored connection and stops future scans.
Information detected from receipts
When a mailbox is connected, our scanner reads messages to identify subscription receipts. From a matching receipt we store only the limited details needed to suggest a subscription to you:
- the sender address and subject line of the receipt;
- a reference message ID, used only to avoid suggesting the same receipt twice;
- the detected merchant name, amount, currency, and estimated renewal date.
We do not store the contents or bodies of your emails. Message text is read transiently in memory to detect a receipt and is not retained. We do not read, store, or process messages that are not relevant to subscription detection, and we never use your mailbox for advertising.
Technical information
We use privacy-friendly, aggregate analytics to understand how the Service is used and to keep it reliable. We also process the standard technical data (such as IP address and browser type) that any website receives in order to operate securely.
What we do not collect
- We do not store the contents or bodies of your emails.
- We do not collect or store your payment card numbers, bank logins, or other payment credentials. Amounts shown in Subhive come from what you enter or from receipts you choose to have scanned.
- We do not sell your personal information to anyone.
How we use your information
- To provide, maintain, and improve the Service.
- To calculate your spend across currencies using up-to-date exchange rates.
- To detect subscription receipts and suggest subscriptions when you connect a mailbox.
- To send renewal reminders and account-related messages (for example, sign-in links).
- To secure your account and prevent abuse.
Google API services and limited use
If you connect a Google account, Subhive’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. We request read-only mailbox access solely to detect subscription receipts on your behalf, we do not transfer this data to others except as needed to provide the feature, and we do not use it for advertising or human review except where required for security or to comply with the law.
How your information is shared
We do not sell your personal information. We share data only with service providers who help us operate the Service, and only as needed to provide it:
- Google— for sign-in and, if you connect a mailbox, the Gmail API.
- Resend— to deliver sign-in links and renewal reminder emails.
- Our database and hosting providers— to store your data and run the application.
We may also disclose information if required by law or to protect the rights, safety, and security of Subhive and its users.
Data retention
We keep your information for as long as your account is active. If you disconnect a mailbox, we delete the stored connection for that mailbox. Detected suggestions you ignore or never act on are kept only to avoid re-suggesting the same receipt. When you delete your account, we delete your personal data, except where we are required to retain limited records to comply with legal obligations.
Security
Data is encrypted in transit, and access tokens for connected mailboxes are stored in a restricted database used to operate the Service. No method of storage or transmission is perfectly secure, but we work to protect your information using reasonable technical and organizational measures.
Your rights and choices
- Access or update your account details and preferences in Settings.
- Disconnect a connected mailbox at any time to stop scanning.
- Turn renewal reminders on or off and change the reminder timing.
- Request access to, correction of, or deletion of your personal data by contacting us.
Deleting your data
You can request deletion of your account and associated data at any time by emailing support@subhive.in. Disconnecting a mailbox in Settings removes that mailbox’s stored connection immediately.
Cookies
We use only the essential cookies needed to keep you signed in and to operate the Service securely. Our analytics are designed to be privacy-friendly and do not build advertising profiles of you.
Children
The Service is not directed to children under 16, and we do not knowingly collect personal information from them.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you.
